Follow up on late cancels

See every client who cancelled inside your cancellation window, follow up or charge your fee, then mark each one resolved.

Written by Steve Lionais

When a client cancels inside your cancellation window, we record it as a late cancel. Every late cancel lands in one list, so you can follow up, charge your fee or let it go, and keep track of what's done.

Find your late cancels

  1. Open the web app.

  2. Click Late cancels in the left menu. The red badge shows how many are still open.

You can also get there from Settings → Other Settings: click View late cancels under your cancellation policy.

Late cancels page with the Open and Resolved tabs and two late cancels, each with a Mark resolved button

What each row shows

  • Client: the client's name, plus their email if we have it.

  • Appointment: the appointment type, or Calendar appointment if you added it in Google Calendar, and its date and time.

  • Cancelled: when the client cancelled.

  • Policy: click Show policy to see the policy text that applied.

The newest late cancels are at the top.

Note: We don't charge a late-cancel fee for you. The list gives you the facts, and you collect the fee in your usual way.

Mark it resolved

Once you've dealt with a late cancel (fee collected, waived or followed up), click Mark resolved. It moves to the Resolved tab. You can undo this at any time.

Use the Open and Resolved tabs to switch between what still needs you and what's done.

Get an email for each late cancel

We also email you when a client cancels late. The email shows the client, the appointment, your policy text and a link to your dashboard.

Email to the business owner titled An appointment has been cancelled late, showing the client, the appointment time and the cancellation policy

Record a late cancel yourself

Did a client cancel late by phone or in person? Add Late Cancelled: to the start of the event title in Google Calendar. The appointment shows up in your list, marked as Marked by you.

Other Things to Know

  • The list only shows cancellations that went through. If you block late cancels, a client who tries to cancel late isn't cancelled, so they don't appear here.

  • A late-cancelled appointment turns red in your Google Calendar, and its title starts with Late Cancelled:.

  • Any reminders still scheduled for a late-cancelled appointment are not sent.

  • To change your notice window or other rules, click Cancellation policy settings at the top of the list.
