A reminder tells your client about the appointment. Appointment Confirmations tell you whether they're coming. Each client confirms or cancels with one tap or a quick text reply, and your Google Calendar updates on its own. No phone calls, no guessing.
Get confidence your clients will show up
With confirmations on, you can glance at your calendar and see who's coming, who's cancelled, and who hasn't replied yet. That gives you time to follow up with the quiet ones or fill a free slot before it costs you.
Fewer no-shows — clients who confirm are far more likely to turn up.
Early warning — you hear about a cancellation while there's still time to rebook the slot.
Zero admin — your calendar keeps itself up to date.
Turn it on
Open the web app.
Go to Settings → Other Settings.
Set Appointment Confirmation to Enabled.
From now on, a short confirmation link is added to your reminders. Your client taps it and picks Confirm or Cancel (and Reschedule, if you allow it).
Your calendar updates itself
Every time the status changes, we update the appointment in your Google Calendar in two ways:
The colour changes, so you can scan your week at a glance.
The status is added to the start of the title, so you can read it anywhere — on your phone, in the week view, or in a shared calendar.
Status | Colour | Title example | What it means |
Pending | 🟡 Yellow | Pending: Jane Smith – Haircut | The reminder went out. The client hasn't answered yet. |
Confirmed | 🟢 Green | Confirmed: Jane Smith – Haircut | The client is coming. |
Cancelled | 🔴 Red | Cancelled: Jane Smith – Haircut | The client can't make it. The time shows as free in your calendar, so the slot can be booked again. |
Tip: If your reminders are sent in another language, the status is written in that language too (for example, Confirmado: or Annulé:).
Cancelled means no more reminders
Once an appointment is cancelled, we stop. Any reminders still scheduled for that appointment are not sent. Your client won't get a "see you tomorrow" text for an appointment they've already cancelled, and you don't use up messages on it.
You can cancel an appointment yourself the same way. Add Cancelled: to the start of the event title in Google Calendar, and its remaining reminders stop.
Clients can reply by text
Your clients don't have to tap the link. They can simply reply to the reminder in their own words:
"Yes", "See you then", 👍 — the appointment is marked Confirmed and turns green.
"Cancel", "Can't make it" — the appointment is marked Cancelled and turns red. The client gets a friendly reply with a link to rebook, and you get an email.
Either way, your calendar is updated for you. For all the reply types and languages we understand, see Two-way texting: can my clients reply to reminders?
Let clients reschedule instead of cancel
If you use your Booking Page, clients can move their appointment instead of cancelling it. A Reschedule option appears next to Confirm and Cancel. The client picks a new open time, and the appointment moves in your calendar automatically.
To turn it on:
Go to Settings → Other Settings.
Turn on Give your clients the option to re-schedule appointments.
A rescheduled appointment is a kept appointment. Full guide: Allow clients to reschedule appointments.
Get an email when something changes
Want to know the moment a client cancels? Go to Settings → Other Settings → Email notifications and turn on Appointment cancelled, Booking changed, or Appointment confirmed.
Other Things to Note
The confirmation link makes your reminder message longer. The link adds a short line to each reminder along with a URL. See How to calculate your monthly SMS reminder usage.
Clients cannot confirm once the appointment starts.
You can rename the event or remove the status from the apointment in your calendar. The status comes back the next time the client confirms or cancels.
