Send reminders in your client's timezone (multi-timezone support)

If your clients are in a different timezone than you, you can send reminders that show the appointment time in their local time. Turn on multi-timezone support, then set the timezone on the appointment in Google Calendar.

When to use this

If you book clients in other timezones — for example, you're in New York and your client is in Denver — a reminder that says "2:00 PM" can mean the wrong time for them. Multi-timezone support fixes this: the reminder shows the time in your client's timezone, not yours.

How it works

Normally, reminder times come from your calendar's timezone. With multi-timezone support turned on, the app looks at the timezone set on each appointment in Google Calendar instead. The {date} and {time} in your messages are adjusted to that timezone.

Step 1: Turn on multi-timezone support

  1. Open the app

  2. Go to Settings → Other Settings

  3. Turn on Multi-timezone support

Step 2: Set the timezone on the appointment

When you create the appointment in Google Calendar:

  1. Click the timezone link next to the event time (it shows something like "(GMT-04:00) Eastern Time")

  2. In the Event time zone window, choose your client's timezone

  3. Click OK, then save the event

Good to know

  • Both steps are needed. If the setting is on but the appointment uses your default timezone, the reminder will use your timezone.

  • Only future reminders change. Reminders that were already sent keep their original time. Reminders not yet sent will use the appointment's timezone.

  • Your calendar still works as usual. Google Calendar shows the event in your local time; only the reminder message uses the client's timezone.
