Ask your clients questions when they book

Add your own questions to each appointment type, so every booking arrives with the details you need to prepare.

Written by Steve Lionais

Add your own questions to your booking form, like "Do you have pets?" or "What brings you in?". Clients answer when they book, so you have what you need before the appointment and you don't have to text back and forth.

Add a question

Questions belong to an appointment type, so each service can ask for different things.

  1. Log in to the SMS Reminder web app.

  2. Go to Settings and select the Booking Page tab.

  3. Click Manage appointment types and select an appointment type.

  4. In the Booking Form column, click Add a question.

  5. Under What kind of answer?, pick an answer type.

  6. Type your question in the Question box.

  7. For a list question, type each choice in Add an option….

  8. Turn on Required if clients must answer before they can book.

  9. Click Add question.

  10. Click Save to save the appointment type.

Important: Your questions go live only after you click Save on the appointment type. Add question on its own doesn't save them.

The answer types

  • Short text — one line. Good for a gate code or a car model.

  • Long text — a paragraph. Good for "What brings you in?"

  • Dropdown — clients pick one choice from a list.

  • Multiple choice — clients pick one choice, and all the choices are visible.

  • Yes / No — a multiple choice question with Yes and No already filled in.

  • Checkboxes — clients tick as many choices as they like.

The Booking Form column shows What your customer sees, in order. Required questions have a red star.

  • Drag the dotted handle next to a question to move it up or down.

  • Click the pencil to change the wording, the options, or Required.

  • Click the bin to delete the question.

Copy questions from another appointment type

Set your questions up once, then reuse them.

  1. Open the appointment type that needs the questions.

  2. In the Booking Form column, click Copy from….

  3. Pick the appointment type to copy from.

  4. Click Save.

The copied questions are added below the ones you already have. They are separate copies, so a change on one appointment type never changes the other.

Where you see the answers

  • Your new-booking email — under Answers from the customer.

  • Your Google Calendar event — in the description, below the client's phone and email.

  • Your reschedule email — the original answers come with it when a client moves their appointment.

Tip: Keep it short. Ask only what you need to prepare, and make a question required only if you can't do the job without it.

Other Things to Know

  • Name, phone and email are always asked. You can't edit or remove them.

  • Every appointment type starts with one optional Message question. You can reword it, move it or delete it.

  • You can add up to 25 questions per appointment type, and up to 25 options per question.

  • You can't change a question's answer type after you add it. Delete the question and add a new one.

  • Short text answers can be up to 200 characters. Long text answers can be up to 2,000.

  • An optional question that the client skips shows as (not answered).

  • Changes apply to new bookings only. Existing bookings keep the questions and answers they were made with.

  • When a client reschedules, their answers stay the same.

  • Answers go to you only. They are not added to your SMS reminders.

  • If a booking has a lot of long answers, your calendar event shows as many as fit, then [more answers in your booking email].

  • Need the client's address for a home visit? Set the appointment type's Location to Customer's address instead of adding a question. See Tell clients where the appointment happens.
